02.1 Electronic Document Control System
This system is fully electronic.
Printed versions are always uncontrolled.
The system should be viewed in a browser, and the contents cannot be edited by a reader. Master data is held by the Company, and the system "owner" is the Managing Director.
When an update is applied, an entirely new version of the system is issued. To install the new version, the old one must first be uninstalled. The system will not allow two versions to be held on one computer at the same time.
The system has an overall version number, and each section has a version number. The numbering system identifies major (M) and minor (m) changes and takes the format M.m, eg. "1.1". The system owner determines whether an update is a major or a minor change.
Provided the overall system version number matches the latest edition, then the contents are all up to date. It is not necessary to check each section individually.
Individual section version numbers are provided only to monitor changes.
02.2 Access to this System
ALL CREW must be able to access this system.
Onboard, the ship must be installed on computers accessible to crew in public places.
In addition, the system is accessible online at www.myriadships.com. Internet is provided onboard, and crew are able to access via this method also.
02.3 Issuing New Versions
New versions of MSMS will be issued either on a media device (CD,USB), as an attachment to an email or as a download link. Whatever the transfer method, the amendment will be accompanied by an "Amendment Notice" showing what changes have been made.
02.4 Printed Copies Uncontrolled
ALL PRINTED COPIES OF THIS SYSTEM ARE ALWAYS UNCONTROLLED AND SHOULD ONLY BE USED AFTER VERIFYING THAT THEY ARE STILL THE LATEST VERSION.
Printing instructions or procedures is permitted, for example to post next to a specific piece of equipment. However, the Master must routinely check that printed versions are still up to date.
The ship should not keep large numbers of printed forms. When a form is required it should be printed as needed wherever possible.
02.6 Handling Withdrawn Documents/Editions
Withdrawn documents or editions of documents are to be destroyed. Old update media (USB sticks, DVDs) must be destroyed. All printed copies should be destroyed.
02.7 Amendment Notices
When a new version of a document or part of this manual is issued, the Company will issue an amendment notice to all vessels. This notice is to be prominently displayed onboard and filed for future reference.
The amendment notice must give details of all changes that have been carried out, details of the sections to which the amendment(s) apply and details of how the amendment is to be implemented.
